Automations in Leadpal allow you to streamline your processes and enhance customer engagement by automating routine tasks. Below are some practical use cases to help you get started, including step-by-step instructions on setting up automations and a guide to using Zapier to send flowers to valued customers.

1. Automation: SMS for New Leads from Google Ads

Use Case:

When a new lead is generated from a specific lead source (e.g., Google Ads), this automation waits 5 minutes before sending an SMS. This brief delay gives the impression of a thoughtful, timely follow-up rather than an instant automated message.

Example Setup:

  • Friendly Name: New Lead - Google Ads SMS

  • Trigger: New Lead Landed

  • Trigger Options: Delay this automation by 5 minutes

  • Filter: Only continue if Lead Source = Google Ads

  • Action: SMS

SMS Setup:

  • In the Number field, select the ‘phone’ merge tag.

  • You can personalise your message using merge tags. For example, using ‘name’ will replace the tag with the lead’s name, creating a more personal touch.

Save Automation:

Save your automation by clicking the green 'Save Automation' button and then toggle the automation to 'On'.

2. Automation: Follow-Up SMS After Quote

Use Case:

This automation sends an SMS to a prospect three days after they’ve been provided with a quote, helping to keep the lead warm without requiring manual follow-up. In the automation, we use filters to ensure the lead is still in the quoted stage before sending the message.

Example Setup:

  • Friendly Name: Quote Follow-Up SMS

  • Trigger: Lead Moved To

  • Trigger Options: Choose a report: Quoted + Delay this automation by 3 days

  • Filter: Only continue if Lead Status > Exactly Matches = Quoted

  • Action: SMS

SMS Setup:

  • In the Number field, select the ‘phone’ merge tag.

  • You can include additional details in your message, such as the ‘premium’ they were quoted or the ‘advisor’ working on their account, to provide more context and maintain engagement.

Save Automation:

Save your automation by clicking the green 'Save Automation' button and then toggle the automation to 'On'.

3. Automation: Sending Flowers to High-Value Customers

Use Case:

This automation triggers when a lead’s status is updated to “Won”, and the written premium exceeds £50,000. The automation sends a webhook to Zapier, which then triggers a flower delivery service to send a bouquet to the customer as a thank you.

Example Setup:

  • Friendly Name: Send Flowers to Premium Customers

  • Trigger: Lead Moved To

  • Trigger Options: Choose a report: Won

  • Filter: Only continue if Written Premium > Greater than = £50,000

  • Action: Webhook

Webhook Setup:

  • In the Webhook URL field on Leadpal, paste the URL you’ll generate in Zapier.

Setting Up the Zapier Integration for Sending Flowers

To connect Leadpal with a florist via Zapier, follow these steps:

Step 1: Create a New Zap

  • Log in/Sign up to Zapier:

    Go to Zapier.com and log in to your account or create one.

  • Create a New Zap:

    Click on ‘Create Zap’ at the top-right corner of the screen.

Step 2: Set Up the Webhook Trigger

  • Choose Webhooks by Zapier:

  • In the “Choose a Trigger App” section, search for ‘Webhooks by Zapier’ and select it.

  • Select the Trigger Event:

    Choose ‘Catch Hook’ as the trigger event and click Continue.

  • Customise Webhook:

    Zapier will provide you with a unique Webhook URL. Copy this URL.

  • Paste Webhook URL in Leadpal:

    Go back to Leadpal and paste the Webhook URL into the Webhook URL field in your automation setup.

  • Test the Trigger:

    After setting up the Webhook in Leadpal, return to Zapier and click Test Trigger to ensure the connection works.

Step 3: Set Up the Florist Action

  • Choose a Flower Delivery App:

    In the “Choose an Action App” section, search for a compatible florist service (e.g., ‘FlowerAPI,’ ‘SendFlowers,’ or any integrated service available in Zapier).

  • Select the Action Event:

    Choose the action event, such as ‘Send Flowers’ or ‘Create Order’ (depending on the service).

  • Customise the Order:

    Enter the necessary details, such as the recipient’s name and address, the type of flowers, and any particular messages. Use the data from Leadpal (passed through the Webhook) to auto-populate these fields, such as the recipient’s name and premium amount.

  • Test and Review:

    Run a test to ensure the flowers are ordered correctly based on the criteria set in Leadpal.

  • Finish and Activate the Zap:

    Once everything is set up correctly, name your Zap and turn it on.

Save Automation:

Now on Leadpal, save your automation by clicking the green 'Save Automation' button and then toggle the automation to 'On'.
